What a Millwright Contractor Needs to Quote Equipment Installation

If you are installing new production equipment, at some point you will send a millwright contractor a set of drawings and ask what it will cost. What comes back depends almost entirely on what you sent.

We quote equipment installations across food and beverage, manufacturing, and heavy industrial plants. The estimates that land close to final cost all start the same way, with a buyer who knew what to hand over. The ones that go sideways usually have a gap in the same two or three places every time.

Here is what we need, why we need it, and how long it takes.

How long does it take to compile an equipment installation estimate?

One to two weeks is professional courtesy.

That is not padding. A millwright estimate is not a unit price applied to square footage. It is a takeoff of safety planning, rigging plans, crew composition, crane or forklift requirements, assembly hours, project sequencing, and coordination with whoever else is working in that space. Some of it requires calls back to the OEM and to suppliers of both the client and millwright firm.

What information does a millwright contractor need to compile an estimate?

Start with the equipment itself. We need weights and dimensions for every piece, and the shipping sequence, meaning what arrives when and in what order. Weight and dimension drive the rigging plan, and the sequence drives the schedule and the crew.

Then we need to understand the path from the truck to the final location. That means access into the building, so loading docks, ground level doors, roll-up door openings, and the dimensions of each. It means storage space for offloading and uncrating, because equipment rarely goes from trailer to foundation in one motion and crates take up more room than people expect. It also means analysis of the floor thickness, and whether that floor can carry both the equipment and the rigging equipment used to move it. A slab that holds a machine at rest does not necessarily hold a loaded forklift crossing it.

Next is the assembly scope. We need assembly drawings detailed enough for us to determine what it actually takes to put the machine together. The question underneath that is whether the equipment is arriving assembled or disassembled, and if disassembled, how far the manufacturer broke it down before shipping.

Finally, we need to know who else is involved. Is an erector or OEM representative coming to supervise or direct the erection and installation, and do we need to account for commissioning and startup assistance. Both change the crew plan and the duration.

Why does assembly scope matter so much?

Because it is the line item most often left undefined, and it is frequently the largest one.

Manufacturers disassemble equipment for shipping to whatever degree the freight requires. Sometimes that means removing a guard and a control panel. Sometimes it means the machine shows up in pieces and everything gets rebuilt in your building, on your floor, on your schedule. The purchase order rarely says which.

If the extent of field assembly is not defined early, it becomes a surprise expense, and it is not a small one. Get the manufacturer to state clearly what ships assembled and what does not, in writing, before you take bids. It will change your numbers and it will change your schedule.

What to do next

Pull together weights, dimensions, shipping sequence, assembly drawings, and building access dimensions before you request pricing. If you are missing pieces, say so in the request rather than leaving them blank. A contractor can price a known unknown if they have experience with the equipment. A blank space just becomes contingency.
